    Addition of data associated with SitesUnder consideration

    Sites use can be applied in many different ways, for our use case sites mean a location. Our locations have a range of different information that if available to be linked to each site could either be: Available to users that have direct or inherited membership Available to the platform features to leverage Just keep in mind at times there could be times when both will need it We should be able to define what fields make sense for either user, platform or both as it will be unique for each organisation. User facing The aim of user facing data is to allow access to information that intends to make the user’s day a little bit easier buy having all the info about their area of responsibility in one location. There is quite a list, but some examples of this information could be: An address - Navigate to the location by tapping Phone number - Network Manager could tap the site details page and call from tapping What direct site members are there and what roles they have (role idea post to follow...) Platform facing The aim of platform facing data is the allow features to leverage the information to automate or enhance a user experience in the background and drive relevancy. (also remove the function of groups to try and achieve this) Some examples of this information could be: Roles - what roles are at this location and the people associated with them Geolocation - when a user is near the geofence, any schedules, actions etc. that are relevant are surfaced for that individual on their mobile app Characteristics - Information that may be useful to allow a more targeted selection of locations for features Schedules - you could use a field(s) to really dial in where you need schedules to target e.g. Types of locations - When scheduling, you could define that you would like a certain schedule to be assigned to a store format type Actions - use a field to target actions to certain characteristics to assign actions Status - if the site status is Open, Closed (temp), Closed (perm) then if there are actions, schedules assigned to the sites and their members, they could be paused if moved into the temp closed status With platform facing I think that there may be reason to connect site fields with roles for assignment purposes - e.g. assign an action to all Self Service Terminal locations to the Manager role. Overall I would hope that improvements in this space would drive the want to keep data associated with sites up to date, and increase time within platform making it more relevant to gain information needed need for your day to day.

    Issuse and Actions more options (dates followers assets)New

    Dates (both actions and Issues) It would be nice to have a reminder date on both issues and actions i.e. I want to finish this action/issue on Aril 30th but the next time have to do something or want to be reminded to look at this is April 10th. Followers/ Viewers (both actions and Issues) Assignees is great (the people who are responsible for fixing this issue) It would be nice to also have followers i.e. people who want to see the progress but are not responsible for completion their might need to be two levels (view only and edit) the use case here is Bob reports an issue with Machine 1 (he can see the issue) it gets assigned to maintenance (they can see the issue) but bob’s shift lead and the other shift leads can’t we don't want to add all of them as an assignee because they are not responsible for working on it but they do need to see that it’s open and maybe make comments on it. They need to see that it open because they are likely under temporary operating procedure till the issues it repaired i.e. the can’t run at over 2000 RPM till the issue is resolved the other use case is if the shift lead can see the issue, and someone on his shift says hey we have a problem with machine 1 they can say we already have an issue with that ID# I’ll add a comment to ask to escalate the issue or that it’s getting work note the shift lead is still not responsible for completing the task Assest (issues) it would be nice to have the option to tag issues to an asset

    Site/group-based access for assetReleased

    1. So asset. Where do I start? Still very rough around the edges. But a glitch that needs ironing out quickly is as follows as it will create issues IMO going forward. Let assume I have 2000 assets. And also 20 sites. Of which some of these are linked to groups and teams. So i go to the Asset Tab. I create and choose to start an inspection for that asset. Now my issues is that the assets for the site/group should only be visible in order that a simple process with less choice and chance for error is done. However what currently happens if i am correct is that a user of site A Goes to Asset Tab.They are then presented by ALL the assets for the org? This feels totally wrong.We are trying to reduce information and collate and control access to information surely by having site and the access features etc for the sites and groups. This should be imo asset are only visible for the person looking who is a member of the site or group. They then simply complete and hey ho simples. This is a key feature that is missing I THINK. ========================================================================= 2. Assets So going to asset tab and starting an inspection works. However although we can link templates etc to assets the templates themselves again IMO have another gap. At the moment the response set for assets can only be chosen in the Title field of a template as a choice from the response set. I get that as in a way the title area is an index related part of the templates. However for all of us now that have been using SC for some time surely for flexibility it would have been a great thing to have the response set available throughout the template. Then when we are in a section or already in used templates we can add the asset as a response in the template - the persons completing inspection chooses (based on their site and group profiles) and then this is collated in the records against that asset. Any feedback or solutions more than appreciated.

    Improve Template FoldersUnder consideration

    When Template folders was rolled out, I was very underwhelmed. It has created much more work for me and confusion for others. The feature is half-baked in my opinion. It takes up a lot of real estate because each folder is full width. It would be better to have them laid out in a thumbnail grid style so more can be displayed across the page width. When you search for templates, it’s good that it displays results across folders. However, because there is no option to display the folder name in the grid of results, you don’t know which ones are in a folder, not in a folder, or in different folders. This makes it impossible to discover which ones need to be assigned to a folder or are not all assigned to the same folder. For the former, yes, we can look at the listing with no search keyword, but then we have to filter through all the templates not assigned to a folder, page by page. Templates not assigned to a folder yet should be in an automatic folder called “Unassigned” which perhaps has a special icon because it’s a built-in folder. This would clean up the template listing. There should be a template listing view toggle to display them in folders or not in folders. Some people have a hard time finding things when organized in folders or need to manage their templates in bulk which is best done outside of folders. You can’t do this with searching if there are various template names. Users outside of Admins do not have the ability to assign their templates to folders. This should be a permission we can add to permission sets. Without this, as an Admin, I am left with the responsibility of organizing them myself. This is not a task I want to add to my job, and it’s hard to keep up with an ever-growing library of 700+ templates. Folders are still not on mobile. I thought this was the next promised feature for folders long ago. The default sorting on the mobile app is by template modified date which has little value to the people that do inspections. If they know they are looking for a housekeeping template, it would be much quicker to tap a housekeeping folder, then pick the one they need vs. typing keywords. Inspections are still not sorted in folders. Having folders on the template is only half-baked. It would be logical that you would also want your inspections automatically sorted by the folders the associated templates are assigned to. This should be a view toggle - table style without folders (current view) or folders first, then table when you open the folder.

    Could NFC scanning be added alongside QR codes, we currently use QR codes for security patrols and other inspections and NFC offers a significant improvement in efficiency, reliability, and security. The current QR system requires staff to scan QR codes at specific locations or on equipment to verify their presence, using a 32-digit hexadecimal identifier for security. However, this approach has several limitations. QR codes can be challenging to scan in low-light conditions, such as during night patrols, and they are prone to damage from environmental factors like dirt, moisture, or wear and tear. Additionally, the visible nature of QR codes exposes them to potential duplication or tampering, and the scanning process requires precise alignment, which can be time-consuming. By replacing QR codes with NFC chips, these challenges can be addressed effectively. NFC chips allow staff to log their presence by simply tapping a device near the chip, eliminating the need for visibility or alignment. This makes the system ideal for low-light environments, as NFC functionality works seamlessly in darkness. NFC chips are also more durable, being encased in protective materials that resist damage from environmental factors, thereby reducing maintenance and replacement costs over time. Furthermore, the security of the system could be further enhanced by transitioning from a 32-digit hexadecimal identifier to 128-bit or 256-bit encryption, making it significantly harder to duplicate or tamper with the chips. Unlike QR codes, encrypted NFC chips do not display their data visibly, and the logic for displaying context-specific questions can be hidden within the software backend, further improving security and operational confidentiality. While we currently start our inspection patrols by tapping a QR code to launch a template, some of our inspection contain 30 - 40 check points each with a QR code and our biggest employee frustration is scanning the Codes.
