Good day, we are getting ready to do an inspection on a million Sq ft facility that will require to assessors to split up to complete the inspection.  Is it possible to work on the same template at the same time or is there a way to merge in the web version once we get back to the hotel?

Any help would be amazing, we are new to the platform

Hi @JLL and thank you for the question.

There are a few options here, some advisable, some less so.

  1. Two separate inspection from the same template. With this option, each person starts an inspection from the same template and fills in their part of the inspection. Once both are done, you would need to “backfill” the answers from one into the other, probably on the desktop as you mentioned. This would have to be done manualy as we don’t have an automatic merging facility.

  2. Both work on the same inspection at the same time. One person would start an inspection, then close it out (not yet completed) and sync the device to the SafetyCulture cloud. The second person should now be able to access it (provided they have edit permission on the Inspection) and they can potentially both fill in the same Inspection at the same time. Please use this option with caution. The syncing system hasn’t been designed explicitly with this use case in mind and there is a chance you could lose data on one of the devices as one overwrites another. If you want to do this, I would advise trying it first and seeing what the behaviour is like. We save updates on a per-question basis, so you might find it works, but I wouldn’t recommend it unless you have tested it thoroughly. Both devices should have a stable internet connection for this to be workable.

  3. Both work on the same inspection at different times. Similar to item two above, but you just have them working on the same inspection at different times to minimise the chances of problems. Just make sure that person A has synced the latest changes to the server and person B has the latest changes before person B starts editing. I think this should work pretty well. I would still recommend a stable internet connection.

If you know which person will be doing which sections, you could even segment them off using different pages in the template editor.

I hope this helps. Thank you.

you could export to word and merge the separate sections - but an option to merge reports in SC would be great, and the ability to work simultaneously like Google Docs - would be a game changer.

@Keith J what scenarios situations have you encountered that would be made easier with collaborative/simultaneous editing?
