I want to ask if I can set permission limitation to the specific group of guest member that they can only access to the issues and actions to their allocated site only?

Hey Kin Wai!

Keen to understand more as we’re currently reviewing permissions.

I’ve broken down how you may go about this into some steps below:

  1. Assign Permissions – A guest member is given a permission set with “issue” access.
  2. Assign to Site – The user is assigned to the relevant site.
  3. Manage Issues Data Flow
    • Go to the Issues tab and configure issue reporting.
    • Ensure issues flow back only to site members based on the site where they were reported.
  4. Manage Actions Data Flow – Actions can be shared based on two flows:
    • Actions from Inspections – If inspection access is set to share with site members, users see actions related to their site and inspections.
    • Standalone Actions – Actions created outside of inspections can also be set to share with site members.

 

It’d be great to understand however, how you would envision the system working.

  1. If you could design the ideal permissions and data flow system, what key improvements would you make?
  2. What challenges do you face with the current setup, and how could we make it easier to navigate?
  3. For guest users, what level of visibility do you need? Should they see only the Actions/Issues tabs, or also have access to templates and inspections? How should this differ from other user types?
  4. Should access always be site-based, or do you need additional criteria to define what a user can see and do?
