It would be useful if custom fields within the Assets module had the ability for a user to enter a drop down list of user defined text entries. i.e. a field for Make of boiler: with a drop down with a list of boiler makes, i.e. Glow Worm, Ideal, Vaillant, Worcester

Thanks for raising this. This request is something we are scoping out at the moment and will introduce as soon as we can. 

 

We’re currently working on automating workflows for asset preventative maintenance. One of those features is asset status which will include structured lists in the custom fields.

That sounds like a real positive step forward. I would be happy to discuss this and how we want to use assets if that would help. Do you have a timescale for this update?

We plan to start working on it in the second half of the year after the maintenance work. I can’t give an exact answer as to when it will be delivered. But, I’m hoping around October time.  I’ll give you a shout when we go into planning mode for this feature, so we capture all the requirements.

I’m crying out for this. We have 10,000+ assets and it’s extremely hard to ensure continuity in how the fields are filled out, for reoccurring responses like length of cable, brand, type of plug on an asset etc. Everyone fills out the field slightly different and it looks very messy

I was pleased to see this released but hit the same issue you have mentioned. Totally fine for new assets but for existing (and we’re hitting 13k assets) this won’t be a simple change.

 

The only option I see right now is to,  double up fields that i want as a list, edit in bulk, copy over the original field into the new duplicated, upload bulk edit, delete old field, edit type, remove field, rename, readd field. If removing field and re adding it the type deleted the data, i’ll then have to upload the bulk edit again.

 

Why cant we add more options to a field if it’s already added to a type?

Again i can only be disappointed that this update does not really add the dynamics required.
There should be the ability to have further step and logic same as templates.

 

Also as previous many posts from me, the mandatory area needs to be able to have other things added other wise every asset will just have 2 mandatory fields and this will not suffice many business requirements.

I have also stated that there should be colour coding based upon the asset type / risk 

Red being - we need to ensure checks are done etc.

 

Finally for maintenance.

The dates function from and when to does not work imo.

It still seems to be centered on cars and things with wheelsand odomters.

It needs a better date function.

Example if a Red itens must be tested or checked within certain days /weeks etc.

This again maybe mobile plant that requires a weekly inspection.

Then i want this in this areas so that when the red weekly items for example are being validated we can simply go to the failed maintenance via assets - in assets and use the analytics to verify.

 

My next point is analytics which for Asssets is as poor as it gets and offers very limited KPI related validation and visuals.

 

Some further improvements required.

I have to agree - even changing existing fields to drop down is not possible and I have to do a clunky workaround.

Mandatory fields is very important, its annoying I have to force staff to fill out fields but I do, so having this this mandatory will save me a lot of time and fuss.

Thanks for all the engagement here. Really useful for us the hear this feedback.

 

All the things you mentioned are things on the roadmap. We will continue to develop and release each tiny enhancement as soon as it is ready.

 

Linking Actions to maintenance plans, and service logs are now both released and in early access for usage based plan ... and time based maintenance is currently being worked on right now which will go out in May. And Jonny, colour coded statuses for when maintenance is due is also currently being worked which will go out in May too. 

 

Improvements to custom fields is on the “later” roadmap while we focus on a preventative maintenance solution in the short term.

I can’t seem to see the linking actions to maintenance plan. Has this been added to our account?

Are we able to see a roadmap for assets? While it’s great to be using assets, if updating assets in the future to use new features will be clunky, its almost worth not adding new assets?

Was it you that wanted to find out who is creating assets, but not filling in all the fields? I can’t seem to find the thread. 

 

Anyway I found a way for you (or whoever it was) to check. 

 

On web click your name on the bottom left then “Organisation Settings.” There are 4 tabs on the top of the screen. Click “Activity Log.” In the log, you can apply a filter named “Event Category,” and then select Assets. You can view who created or updated assets. 

 

After we’ve built out Maintenance, one of the next features we will start working on is bringing in asset history. So these events will be stored and viewable on the asset profile. This will form the foundation for a range of features that need this a history to make sense of things. ie: statuses, check-in/out, linking with users etc.

 

Hope this context helps. Reach out with any questions / feedback on maintenance. We’ve got a lot of work to do on it before we believe it will be fully ready eg: time based plans are currently in progress, linking to actions, editing the plans etc.

It was yeah! Thank you for the work around, I havent got 4 tabs, only 2. I assume admins would have this access though?

I’ve got access to maintenance now, which looks great so far! Time based plans would be our biggest usage, with weekly, monthly etc checks for a lot of our assets.

I asked for the ability to add our own mandatory fields as required not the ones you have stated and have on the current asset fields.

 

I think sometimes that the masses requesting really valid changes get done but it is just a massive uphill battle.

 

Let me recap.

 

Many people have fed back about having the ability to have their own mandatory fields.

 

I have requested the following.

Some of the mandatory fields should have the flexibility for colour coding in order for a 🚦 system to be visual.

As I mentioned I would like this initially because I want items based upon the risk and where required other factors.

 

I may have missed something or not got the email 😂😂😂 but I expected a labels type list similar to what is in the templates structure where these can be built to fit the org.

 

Colour coding or choice enabled.

 

Also expected more in a dynamic way for these.

Been asking for over a year Duncan.

 

I have also requested that any asset category can have a service schedule that is similar to the calendar entries, day, days, day od the week, weekly, 2 weekly, monthly, quarterly, annually etc.

At the moment I cannot add asset items in a bespoke schedule for these period types.

 

Again please correct me if I have missed something.


 

I also want to add the following when it comes to assets.

Various industries have differing amounts and types of assets, however most from my recollection are not vehicles.

They tend to be mobile plant, power tools, machinery, access equipment and so on.

The point I am making is that this varies across orgs therefore SCs approach in how it looks at assets must be the same with regards to best make the asset system being fit for purpose across all sectors.

Legal requirements, site and local rules will dictate this and that is why assets needs another flexible re-boot.

It has come on leaps and bounds but there is so much improvement that we can aspire to.

That is why the mandated parts is so pivotal for the Org to decide and not SC.

If we are given this then the mandatory sets we use should then be with the analytics charts which we use as this isna legal and relative measure.

 

Example.

UK construction PA Testing (portable appliance testing for electrical items is 3 months)

This must therefore be Red in asset when an item is still live in site and the PA test date has elapsed.

 

This start the planning process and highlight any gaps against procedural or legislative requirements.

Hope all this makes sense...
