I am often frustrated that you can’t change a template so that changes come into an inspection that has already started.  But:

I am doing a template for an Inspection and Test Plan (ITP).  We want signatures from our operators and customer representatives at some hold points.  We might want to add extra items as we go.  So I made a very simple template like the first attachment.  A key point is the tick box in “Repeat this section”.

From past experience, we know customers who have over-the-top requirements for sign-offs start to relax them when they see they have a comprehensive photographic record.  So you will see most items have a star against them to show they cannot be skipped.

Now the clever bit:

We start an actual but fake inspection where we make a whole lot of items and give them a task name, details of what is needed, and mark off as Hold or Witness.  And no more.  And save the inspection with “pseudo-template” in the name.

Every time we want to do a real ITP, we copy the Pseudo-template (actually an inspection, see the 2nd attachment), enter contract specific details, and start taking photos and adding signatures.

Cute?

What I would also like, but I don’t think is possible:  Force a page break after each item.

Hey ​@MOB 👋,

Thanks for posting! Definitely some clever template building you’ve come up with.

I have a couple of questions:

  1. Is the primary purpose of the pseudo template so that there is already information pre-filled into the inspection?
  2. When you mention page-breaks, are you envisioning there would be a break after each repeat section?

Hi Karen,

1:  Yes, we want to pre-fill.  Our supervisors in the field are fantastically competent at getting things done and problem solving.  But at setting up forms and writing?  We like iAuditor because it sets a structure.  So the pre-fill of what is required will be done by a Project Manager or myself before they get to site.  Then they will take the photos, explain what is done if words are needed, and get signatures.  And perhaps add extra items.  For the example I shared the customer gave all those items in a table in their specification.  

2:  Yes but:  Ideally a page break would be an item that could be called up in a template.  Giving the end user control.

Thanks for the clarification ​@MOB, can I ask a few follow-ups?

  1. With pre-filling, in an ideal world, what data sources are you wanting to pull the information into the inspection from?
  2. Have you tried using the ‘add page’ button in the template editor? If so, and that is not meeting your requirements, can you please explain why?

Hi Karen,

2;  I don’t think you have understood the idea.  If I click add page in the template editor I will have a new section that exists in every inspection ever done with that template.  Exactly what I am trying to avoid.  I want a report that can freely grow to whatever size is needed, with extra items added at any time during the process.  And I have shown how that can be achieved.

1:  Pre-filling sources:  Perhaps Word, Excel, PDF, whatever occurs inside my head when thinking about the problem or discussing with others.  But I am happy to just type of copy and paste.

Back to your earlier question, do we want to pre-fill?  Yes, we want to pre-fill the inspection.  Not the template.
