Restrict Access Management and Editing Permissions for Completed Inspections to Administration Users

Recently I noticed that the user who performed the inspection has ability to change the " manage access " of his completed inspections to all users including the administration of the organisation, he can also edit his completed inspection which may cause tampering with the inspection results.

I think it is necessary that the ability to change the " manage access " of completed inspections should be done by administration users only , and giving the administration user a full control of completed inspections including removing "edit permission" of inspection owner.

I tried to change the access permissions with our Production account but couldn’t do it.

Manage Access can be changed from the template, but the Production account does not have edit permission on the template, so they cannot change it.

On the other hand, we set up our inspections as follows:

  1. The Production person performs the inspection.
  2. At the end of the inspection, they click a notify button, which notifies the Quality department.
  3. Production closes the incomplete inspection.
  4. Quality opens the inspection, finishes their questions, and completes the inspection.
  5. These closed inspections get saved to our drives a few days later.

I am a little bit concerned about the fact that Production can still make changes to the completed inspections. (However, this has not happened yet.)

I would be happy to see another permission where you can set, who can mark a completed inspection Incomplete. Or just completely remove the ability from the standard users to edit a completed inspection.

All access controls are within the system and can be set up by admin. 

 

I do this via permissions and also with view / edit / delete options.

 

I also do this with group and site access. 

I see differently where we use it as if they do an inspection and complete then I do not have an issue with them beingvabke to edit. 

 

However we are using this with Project Managers. 

 

But the more I think about it when having many users in an org I feel that having the added protection may be a good idea to restrict changes after final completion. 

 

I would say again having thought about it from both your viewpoints when the person was to complete and as they complete (they cannot change after) a message comes up saying that once submitted the inspection cannot be changed.

The reason I agree with this is the following and should be thought through by SC so orgs can be protected from mandatory inspections of plant and equipment. 

 

This also need to tie in with the auto date / time stamp and location as when this is done it then pin points and records what they and we need. 

 

If however they do an inspection and they do need to edit then I feel that a request must be made to Admin with a reason why. 

 

Never thought about it with regards to connivance before and the potential as more users are involved with collating records. 

 

I know we can look back at history on the inspection but also feel that again this is only accessible by Admin or a level of senior mamanagement should it need to be reviewed as a timeliness for the data entry via history.
