Have a way in training to track the last time a course’s content was review by and signed of on by an assigned manager also be able to set a requirement for how often the course content has to be review (i.e. every year or 2 years or 3 years)

Thank you for sharing this feedback! We are starting to hear this request more and more and we know having a regular cadence for training content reviews would be incredibly useful for maintaining up-to-date training materials.

A few questions to better understand your use case:

  1. What type of courses do you want a review cadence for?  Are these compliance type courses (can you provide some examples?), are they standard operating procedures or work instructions?
  2. Would the assigned manager be the same person as the person who authored the content or published the course?
  3. What would ‘signing off’ look like to you?  Would an update to the date included on a slide in the course and associated update to the change log and publish date suffice?
  4. Would you want this to trigger reminders for the assigned manager? Via what delivery methods (e.g. in app notification, email, SMS?)
  5. Would you want the course to automatically be unpublished if not reviewed and signed off by the review date?
  6. Are you looking to enforce these review cadences across multiple courses at once, or on a course-by-course basis?
  7. How do you currently manage this process, and are there any pain points you’d want the new feature to address?
  8. Lastly, is this review cadence something you'd want to report on and include in analytics for compliance?

Getting more details on your exact needs will help us figure out the best way to approach this feature! Looking forward to hearing more.


Not sure I fully understand the question fully but... 

 

Important for an Org setting up training to have a structure that is limited imo to managers that can author. 

 

Otherwise you can start to very quickly crest lack of control and incoherent too level training at a company level. 

 

The best way is to get the authors in place and facilitation there too by selected managers. 

 

This is already part of the system

 

 

Also the period for courses is also avaikable so the length before change / review is available.

 

The key thing to note is how you want the training to be completed by users and the review process by managers. 

 

I would advise you look at autonomous refreshers within each course as opposed to at a set frequency 1-5 years etc.

 

Then

You build auto refreshers into the system. 

If the course changes and an authors changes a course then the change history should be available at the change and live refreshers will have the ability to include the update info. 

 

I hope this is an answer to your question. 

 

  • A said earlier the approach must be from the top by really managing who authors courses. 
  • Who you want to review them. 
  • Who you want to undertake (assigned to)

 

Control and management is key. 

Create an area for each course for user / facilitator feedback etc.

 

Finally use SC as the testing ground for updating your courses via issues, assets and actions etc. 

 

So internally you can validate the training courses and update to meet known issues or external regulatory or incident requirements.

    1. they are SOPs that contain work instruction aka compliance type
    2. examples
      1. shipping and receiving
      2. allergen management
      3. Complaint handling
      4. Sanitation Manual
      5. Recall Plan

    1. mostly yes but would need to be able to re-assigned as roles and employees change
  3. What would ‘signing off’ look like to you?  Would an update to the date included on a slide in the course and associated update to the change log and publish date suffice?
    1. we need to be able to confirm the data and time the course was updated and documents changes that were made and by whom, we don’t need to track key strokes just a place for general comments like “changed cleaning order” or “removed step 2 and 3”
  4. Would you want this to trigger reminders for the assigned manager? Via what delivery methods (e.g. in app notification, email, SMS?)
    1. yes manger need reminder and in-app is best
  5. Would you want the course to automatically be unpublished if not reviewed and signed off by the review date?
    1. no in general the course should always be available
  6. Are you looking to enforce these review cadences across multiple courses at once, or on a course-by-course basis?
    1. all course would need a review cadence being able to bulk update them would be cool but not 100% required
    2. for the most past all our course would need review once per year
  7. How do you currently manage this process, and are there any pain points you’d want the new feature to address?
    1. we currently use Templates with the PDF SOPs attached we then schedule all the reviews and training we need via the scheduler
    2. the pain point is that open the PDF is cumbersome on a cell phone due the size and app switching 
  8. Lastly, is this review cadence something you'd want to report on and include in analytics for compliance?
    1. yes we’d need some way to report on and the data for our compliance requirements. current we use the downloader but we are exploring analytics

Having read the reply all of the query is available as we already use this. 

When you say Pdf. 

I would use the beta IA converter and then edit the output as a SOP.

 

I would then add to brain boosts in order that there is ongoing refresher training

 

With regards to managers a schedule and cadence frequency can be applied to that group after publishing. 

 

So the frency of full refreshers can be applied to a group of your choice. 

 

Then all the personnel in the groups you create will be updated. 

 

The same would be allied to frequency of review of the actual course.
