Default/favourite contact list for external assignees (Actions)

Related products: Actions

To have the ability to add a favorite list of people (names and email) to an external assignee list, compared to having to add email addresses each time an action is created for an external party.

I agree.

Currently this is not an option.

I do not like to be adding lots of free users as that means I must control access.

I do want what you have asked for because generally if any external email was saved then this would save lots of time.

Hey @Matt Roche

It sounds like you find yourself consistently assigning actions to the same external users, which can be very repetitive. Is that a correct assumption?

May I ask if you’re doing this via a mobile device or a computer?

If you’re using a mobile device, you can save the contact to the device and this will appear on a list of potential assignees which will make the process more efficient.

We’ll take this feedback on board for the web based experience

Thanks for the comment and context @jonnyg

Is the main reason you dont add free users and assign externally to do with the hassles of managing their access?

Is there anything in particular around access which is the biggest pain for you?

The query and question is very important and I do not think has been dealt with.

Most companies work with one or many supply chains where collaborative solution and sharing is key to success.

This query relates to that...

We are facing a similar challenge. Our operational groups are designated to receive tasks, yet we find ourselves repeatedly assigning external assignees manually. While the managers of these groups possess SafetyCulture accounts, the field staff do not. It would be beneficial to have a feature that allows saving external assignees in the app or the ability to add external assignees to action groups.

@James Bell Regarding your question, “Is the main reason you don’t add free users and assign externally to do with the hassles of managing their access? Is there anything in particular around access which is the biggest pain for you?”,

Absolutely, employee turnover is a factor, but access management is also key. Our system isn't linked to internal contacts or employee databases, so any staff changes mean more manual work for us. With numerous systems already in play, we generally reserve account creation for managers and above. Moreover, it's about training; assigning users externally limits their access and keeps operations smooth. Introducing another system for employees to learn only complicates things and increases maintenance demands over time.
