Hello With relation to point 6. The documents can be linked to training via the the Https link of the document. This can then be linked to training via adding the link to created txt.

Thanks a lot for your post. I’m from the Documents engineering team and just want to say that feedbacks means a lot to us, we will definitely use it to keep iterating on the feature. To answer some of your questions:
- We decided to do this because a lot of customers really love using the Microsoft products and also already have existing PDF assets that they can use to upload. Should there be a need in the future to do creation and editing in the platform, we will definitely consider it.
- We do keep previous versions of the Document history, you can click on the version number to see the previous version of the document.
- Stay tuned on approvals, it is one of the highly requested feature.

- Stay tuned on this, we are hoping to link to other parts of the platform.

- IMHO, if you want people to embrace this feature you need to be able to create and manage document within one system. Your current approach increases resources and will cause increased risk of documents being updated in one system and not another. This is already an issue with printed documents, and site where document control is a requirement would need create logs to ensure that the latest version is in SC.
- I just checked again, and I cannot see the old document, also there needs to be mandatory comments when changing version.
- Approval would be great, its needs to be customisable based on criteria. Example the Quality Manager to Approve Quality documents or Production Manager to approve production documents.
- I understand that you can add labels, however these are not included in the document which would be a requirement, especially version number. Also, it would be good to add a customisable header/footer. This could then be used to add feature like “valid from and to if exported/printed”.
These are documentation requirements of the BRCGS Global Standard Packaging Materials, Issue 7.
3.2 Document control - An effective document control system shall ensure that only the correct versions of documents, including record forms, are available and in use.
3.2.1
The company shall have a procedure to manage documents which form part of the product safety and quality management system. This shall include:
• a register/list of all controlled documents indicating the latest version number
• the method for the identification and authorisation of controlled documents
• a record of the reason for any changes, or amendments to the documents
• the system for the replacement of existing documents when these are updated, including communicating changes to relevant personnel.
3.2.2
Where documents and records are in electronic form these shall be:
• stored securely (e.g. with authorised access, control of amendments, or password-protected)
• backed up to prevent loss or malicious intervention.

Thanks, its a work about but really needs to be intergrated to training. That way you can easy track training via the matrix and also create questions using AI or manually for verification.

Just to add to this while we have visibility on the topic, it would be extremely helpful if the ‘Document’ feature supported live links (e.g. to Google Docs or other web-based documents/websites), allowing a linked file/content to appear as its own document within the platform.
Our company creates and manages all documentation and policies using the Google Workspace environment, which is currently accessible only to corporate and Management-level staff. If we could embed or display linked documents directly within the Safety Culture document feature, it would significantly improve our ability to distribute and control access to important content for all employees.
At the moment, we rely on store Managers to manually share these Google Doc links with their teams, typically via email or other untrackable methods, which results in inconsistency and limits visibility. Having a centralised, link-based option within the platform would help ensure accurate and consistent access to up-to-date documentation.

Please keep in mind any time you add any Approval tools that there is a real need for MULTIPLE APPROVALS in many organizations.
I really like where this chat is going as it relates or links with approvals / doc controls.
With regards to labels - this is where the labels within actions are a very good link.
We could also expand the doc control.
Simple Approval.
Links for Companies etc with documents, company links to templates.
So when an approved document is in place - we can then use the revision process etc.
When a company is seen to be undertaking positive, negative or compliant work then this is recordable in templates, inspections and actions.

With regards to Document Control.
We will be looking at utilising Companies.
We will also be looking at utilising the Documents tab in a way of improving not only document control but what by way of SC use contributes to changes and the training requirements with evidence based on this.
Will update here when we have added this streamlined system.
Approvals is the main issue thus far within making this work.
But i am sure we can find a way to complete this and get it to a compliant level as part of our accreditation scheme.
