Is there a way to do the following.

If not van this be added as an idea?

============================================================================

  1. Build template
  2. Add logic or custom labels
  3. when a label is chosen or logic inserted a linked item, image or pdf is associated with the choice
  4. This links to the beta Documents roll out (both internally and for Contractors)
  5. So the option is chosen for example - Materials used - choice is Specific BRICKS from choice.
  6. When making choice there is a linked document for the brick that is automatically attached

The above would automate linking items with choices.

Another example would be linking specific SC training with a choice from the logic added

Or an Heads Up

Or an Asset

Or TBTs, SOPs etc

Is this available yet or in the pipeline?

-------------------------------------------------------------------------------------------------------------------------------------

The above can then even be extended to link with internal area, sites, contractors and the supply chain to ensure that either something links to the choice or logic or is available without searching for it and then adding.

Any feedback appreciated?

Hi @jonnyg and thanks for the question.

I might need some further clarification regarding your question. Right now you are able to add a multiple choice option and specify different logic paths for each selection and show an instruction field, for example. You can upload images or PDF’s to instruction fields.

I think this achieves what you are looking for, but I feel that I don’t fully understand your request.

I have attached what my mocked up version of your request might look like in the template editor.

Please let me know what I have missed or where we could do better with this request. Thank you.

No.

What you have added is just basic logic.

Ref logic chosen inserts something.

I wanted the logic to link with documents etc with the system so if you choose one or more then it explicitly ads the Pdfs or similar.

This would be part of multiple options where the labels are linked to individual files and not just an instruction.

Right, so you want certain documents (say a PDF) to be automatically linked in or referenced based on logic, rather than having to specify each item as an information field, is that right?

What are some examples of what this would allow you to do?

In a similar need / concept to the “brick” and the “product specification sheet” which sounds fantastic.

I have a client who for example has fall protection equipment - we inspect their equipment.

 - If I select  a brand and style of harness from a list - then the PDF product manual could be attached to the report as an appendix.

Alternately

I have a client who for example has play ground equipment - we inspect their equipment.

If they have certain products from certain manufacturers we could attach: the installation rendering; daily inspection form; product recall notices, etc.

With the Companies Module and/or Documents module - these could be linked  - even if just available as an optional standard question like you have comment,  take photo - add a Link Document button to every question type.  This would be a game changer, as many of our clients have the same type of failures, or need the same type of daily inspection report, etc.

Thank you @Keith J for the terrific insight into your business practices, this helps tremendously and it’s great to see two different customers have similar requests.

I will pass this feedback on to the team and we will consider how we might be able to bring this capability into the editor while we are getting Documents ready for release.

NO....…

So SC is releasing a documents part of the system in their road map, therefore I would like to link this within templates so that any documents in the SC documents area can be linked as required.

Example if we for example had a Policy on smoking in our company.

With documents and by using document control we can manage the Policy and revisions etc but also link it to templates / actions / issues etc

All of a sudden we start to link more items from different areas and create a…

PLAN DO CHECK ACT

System and mentality.

A few examples might be:

we have a compliant non compliant choice for something we are inspecting.

  • Wood Pole Type and Class: if non compliant automatically attach a document on wood treatments.
  • If a Maintenance Log was not present (non-compliant) attach a sample Maintenance Log and instructions to create one.
  • If a Piece of equipment was not being used, stored or maintained correctly - automatically attach the PDF of that equipments manual.

Good examples but I want the synergy link with the yet to be released SC documents that again in line with what I stated and you have explained would be a linked whether word, controlled document or similar.

Then the Documents in SC can be linked intrinsically to all areas of of SC not only templates.

Training, Elearning, TBTs, SOPs, SWPs, RAMS and everything else.

Again I take your point that also fits well.

@jonnyg thank you for the additional detail. The scenarios you described where other parts of the platform are able to link to files in the Documents feature is exactly what is on our roadmap. I expect the first place you will see this level of integration will be in the template editor.

You will be able to link to one or more documents and view them during the inspection as you would any other. The major benefit being there will be a single place to update the document and that update will be reflected in every template it is referenced immediately and with no administrative overhead.

After the template editor and inspections, we will continue to create additional integrations all over the SafetyCulture platform. I expect you will start to see these in-product integrations later this year.

@Keith J these examples are really interesting and I’ll make sure the team are aware of them. I expect this kind of capability would be part of a second round of improvements we’d make after the base integrations across the product are done. I don’t have any timelines I can share at this point, but I really appreciate the feedback and ideas.

Where is the above that you have explained or am I missing either the access or wisdom to understand your reply.

@tomdance Can you show instead of stating this in 2 paras.

Either I have missed a major update or this is currently not available.

Please show me the solution?

Ta.

Hi @jonnyg - apologies if it was unclear. The Documents integration I described is still in the planning stages and is not yet in the product. I expect it will be available later this year.

We will have more information and timelines in future.

@tomdance@tomdance.

Can you share the raodmap as this will assist in me not asking for things that are already in the pipeline.

It may also be prudent to have this in the community header page.

@jonnyg we do not publish a roadmap publicly unfortunately. However, I will make sure we note your interest in this capability regarding Documents and notify you when it becomes available.

Thank you.

Can I be added to early release access?

Sure thing @jonnyg - I’ll speak to the team and have you added to the list.
